Rental Policy
"Policy" for Use of Wildlife Preserve:
These are guidelines that pertain mostly to wedding/reception events, although it is wise to familiarize yourself with them for any social event.
Exterior/Interior Grounds Use Plan: Renter to provide outfitter with Planned Layout of each area of Grounds Use rented showing location of tables/chairs, cake, band, tent, dance floor, # of portable toilets, etc. and need to be approved by outfitter six (6) weeks prior to event.
PowderKegg Wildlife Preserve 'specific' group activities (i.e. fishing, horse trail riding, hunting) may be arranged for additional discounted fees. (see the particular links for current rates & policies)
Refreshments and/or meals may be arranged for an additional fee.
Alcoholic Beverages: May be served/consumed within the Preserve fence. Sale of alcoholic beverages must conform with state liquor laws.
Gate Access: Arrange with Outfitter.
Deliveries & Parking: No Parking on Roadways (firetruck/emergency vehicle right of way). When parking on sides of roadways, proper clearance required for other vehicles' passage. Event Parking: Renter needs to assign person to direct parking (discuss with outfitter). For Large number of guests, Use of Gas Line for parking may require suitable escort vehicle(s) back & forth to event gathering location on Preserve.
Portable Toilet: Local Supplier charges $70 for each toilet. Must be arranged 2 weeks in advance. All Grounds Use events require at least one Portable Toilet.
Tents/Dance Floors: Set-up time: day before or day of event. Take Down: day after (or as approved by outfitter). PowderKegg Wildlife Preserve is not responsible for tents and/or dance floors left unattended before or after the event.
Food/Beverage Delivery time: up to 3 hours prior to event (or as approved by outfitter)
Party Rental Equipment (chairs/tables, linens/glasses & plates, etc .): Monday morning pickups permitted (need to be pre-arranged with outfitter). PowderKegg Wildlife Preserve is not responsible for any rental equipment/supplies left on the grounds unattended before/during/after event.
Picnic Tables/Chairs: PowderKegg Wildlife Preserve picnic tables/chairs (limited supply) need to be put back where found before event. Please inspect before use. For any missing or damaged PowderKegg Wildlife Preserve picnic tables/chairs, renter will be billed. PowderKegg Wildlife Preserve Main Lodge Furnishings: All furniture or objects may be rearranged or moved only by approval of Outfitter. Any requested changes in furniture layout must be included in Grounds Use Plan.
Decorating & Greenery: No nails, hooks, screws or staples are permitted. Only containerized flower arrangements and potted plants (Greenery) are permitted. Removal of Decorations/Greenery is by the end of the rental time. PowderKegg Wildlife Preserve is not responsible for items/greenery left unattended prior to, during or beyond the rental time.
Lighting (torches, bag luminaries, string lights, candles) must be approved by outfitter and must be supervised by renter/liaison when installed. Lighted candles are permitted inside the Main Lodge and must be supervised the entire time lit. Must be removed from the premises at the end of the rental time. PowderKegg Wildlife Preserve is not responsible for lighting equipment left unattended or beyond the clean-up time. Gazebo has Lights & Outlets. Bridge has string of lights on each side railing. Gazebo Island has flood lights & Outlet. Fish Camp building has Lights, Flood Lights, Outlets and Concrete Covered area in front of building.
Animals/Pets (except horses) : Not Allowed. They create stress on the wildlife. Horse trail riding is available for an additional fee. See " Horse Stable" page.
PowderKegg Wildlife Preserve LLC is not responsible for any accidents on property at all times.
Smoking: Designated smoking areas (pre-arranged with outfitter). Cigarette butt disposal is responsibility of renter. Any cigarette butts tossed on grounds must be cleared by the renter, or will be subject to a $100 clean-up fee. Absolutely no smoking is permitted in the house.
Caterers: A supervisor with the catering firm must remain with the waiters and other catering employees during contracted time for event.
Food Preparation/Serving Areas: only rooms rented are to be used.
Food/Bar Servers: must insure proper care of the furnishings and grounds.
Set-Up Responsibilities:
__Must follow approved Grounds Use Plan
__Must know location of fire extinguishers in each area
__Must know how to use the fire extinguishers
Departure Responsibilities:
__Remove/neatly stack all rental equipment/supplies/glasses/china
__Bag all garbage/trash and take off site (or $100 trash removal fee will be incurred by renter.)
__Check rooms/restrooms for glasses/plates/trash
wipe kitchen counters and any PK Tables used; sweep kitchen floor
__Take off site any hot oil/other damaging ingredients. Do not pour oil down drains, on grounds or on garden plants
__Collect/bag rental linens; stack rental plates/glasses in containers supplied by party service. Put used rental things where told by staff/renter/party service.
The Renter will be billed for any PowderKegg Wildlife Preserve cooking utensils/supplies missing after an event.
Trash Removal: Caterer or renter must take all trash/garbage off site (including food remains, bottles/cans, paper trash, greenery/decorations, cigarette butts, etc.).
Final inspection: Renter/liaison responsible for inspecting the Grounds and/or Main Lodge before departing to insure cleaning rules have been followed and that Grounds/Main Lodge are in good condition. Outfitter or a PowderKegg Wildlife Preserve staff person will make a site inspection after the event as well.
Clean-up: Must be completed immediately at end of the event, or by a time approved by Outfitter. If the staff/outfitter decides the interior and/or exterior clean-up is not presentable to the public, clean-up charges (by outside venders) will be billed to the renter.
Not adhering to the specifications listed above constitutes grounds for invalidating your rental contract with PowderKegg Wildlife Preserve LLC.
